1Acceptance of Terms & Authority

By establishing a tenant workspace, initiating a subscription, or allowing employees to clock in through PeopleCoreAI, you represent and warrant that you have full legal authority to bind your organization or employer to these terms. If you are using this platform on behalf of an enterprise, company, or legal entity, that entity accepts these terms in full.

2Platform Scope & Service Delivery

PeopleCoreAI provides cloud-hosted enterprise human resource management software, delivering core modules including:

• Core HRIS: Centralized employee directories, job records, organizational hierarchy, and digital employee document repositories.
• Attendance & Shifts: Shift scheduling, biometric/web clock-in registers, break logs, and overtime tracking.
• Leave Management: Accrual policies, paid time-off approvals, and manager workflow coordination.
• Automated Payroll: Automated gross-to-net pay computations, tax withholdings, deductions, and digital employee payslip distribution.
• Performance & Analytics: Review appraisal cycles, 360-degree feedback, and real-time workforce analytics.

3Account Roles & Security Obligations

Access to the platform is partitioned into three strict tiers of Role-Based Access Control (RBAC):

Account administrators are responsible for safeguarding login credentials, enforcing strong passwords, and promptly deactivating accounts of departed employees.

4Customer Data Ownership & Confidentiality

Your organization retains 100% ownership of all employee, attendance, and payroll data uploaded to the platform. PeopleCoreAI does not claim any intellectual property rights over your customer records.

PeopleCoreAI processes customer data solely in the capacity of a Data Processor to fulfill software functionality as described in our Privacy Policy. We never sell, lease, or monetize your customer records.

5Automated Payroll & Tax Calculation Disclaimer

While PeopleCoreAI delivers automated mathematical engines for wages, overtime, and standard deductions, your organization remains responsible for reviewing payroll outputs for statutory compliance with your local tax jurisdictions and labor laws prior to executing disbursements or filing tax forms.

6Subscription Fees, Renewals & Upgrades

Access to paid tiers is billed in advance on a recurring monthly or annual basis through Stripe. Subscriptions renew automatically unless cancelled before the renewal date. Seat allowances and plan details are available on our Pricing Page.

7Service Availability (SLA) & Data Encryption

We target a service availability uptime of 99.9% outside of scheduled off-peak maintenance windows. All customer data is secured with AES-256 encryption at rest, TLS 1.3 encryption in transit, and continuous cloud database replication.

8Termination & 30-Day Data Export Guarantee

You may cancel your account at any time through the administration panel. Upon cancellation, PeopleCoreAI guarantees a thirty (30) day retrieval window during which administrators can export all employee profiles, timecards, and payroll histories in standard CSV/PDF formats before secure data decommissioning.
